Refund Policy for Intake Eval

This Refund Policy explains how refunds, cancellations, report credits, chargebacks, and suspected misuse are handled for Intake Eval. By purchasing or using the Service, you agree to this policy and our Terms of Service.
1. General Policy
Intake Eval sells access to digital software, paid plan access periods, and candidate report credits. Because these services are delivered electronically and may be consumed immediately, payments are generally non-refundable except where required by law or expressly stated in this policy.
2. Paid Plans
Paid plans are one-time purchases billed in advance for the selected access period. Plan purchases do not auto-renew. A new purchase is required to continue access after the current paid period ends.
- Purchasing a plan does not create a right to a refund for the current paid period.
- Access may continue until the end of the paid period unless the account is terminated for misuse.
- Unused included report credits do not create cash value or refund entitlement.
3. Report Credit Top-Ups
Top-up report credits are one-time digital purchases. Top-up purchases are final once payment is completed, except where required by law or where we confirm a duplicate charge or technical billing error.
- Used report credits are not refundable.
- Unused top-up credits have no cash value and cannot be transferred or resold.
- Refunded top-up credits may be removed from the account balance.
4. When We May Consider a Refund
We may review refund requests in limited cases, including:
- A duplicate payment or clearly accidental duplicate purchase.
- A verified billing error caused by Intake Eval or our payment processor.
- A paid feature was materially unavailable due to a confirmed platform issue.
- Another reason required by applicable law.
Refund review does not guarantee approval. We may offer account credit, replacement credits, or technical support instead of a refund where appropriate.
5. Abuse, Misuse, and Non-Refundable Situations
To protect Intake Eval, candidates, and legitimate customers, we do not provide refunds for:
- Reports, credits, or paid plan features already used or substantially consumed.
- Accounts that violate our Terms of Service, acceptable use rules, or candidate data obligations.
- Attempts to obtain free service through repeated signups, payment reversals, or chargeback abuse.
- False, misleading, incomplete, or fraudulent refund claims.
- Dissatisfaction with hiring outcomes or candidate performance results.
- Failure to use the purchased access period, credits, or features after they were made available.
6. Chargebacks and Payment Disputes
If you believe a charge is incorrect, contact us first at info@intakeeval.com so we can investigate. If a chargeback, payment reversal, or dispute is filed without first giving us a reasonable opportunity to resolve the issue, we may suspend access while the dispute is pending.
We may provide account records, usage logs, billing records, IP/session information, and report-credit usage history to the payment processor or card network to contest improper disputes.
7. How to Request a Refund Review
To request a refund review, email info@intakeeval.com within 7 days of the charge and include:
- The billing email and company workspace name.
- The transaction date and amount.
- A clear explanation of the issue.
- Any screenshots, payment receipts, or supporting details.
We may reject requests that are late, incomplete, unverifiable, or inconsistent with usage records.
8. Processing Approved Refunds
Approved refunds are returned to the original payment method where possible. Processing times depend on the payment provider, bank, or card network. Refunded subscriptions, credits, or features may be removed, reduced, or disabled.
9. No Guarantee of Hiring Outcomes
Intake Eval provides simulation-based candidate assessment software and reporting tools. We do not guarantee that any candidate will perform a certain way, that a hiring outcome will be successful, or that reports will produce a particular business outcome. Refunds are not provided because a customer disagrees with a candidate score, report, or hiring result.
10. Changes to This Policy
We may update this Refund Policy from time to time. The current version will be posted on this page. Continued use of the Service after an update means you accept the revised policy.
